Automation for tax firms
Incoming documents, queries and deadlines — the work that comes before the actual work.
Does this sound familiar?
Your firm runs on referrals, and that works. But clients are getting older, successors search differently, and internally every round of documents takes more time than it should.
- The website lists services but doesn’t answer any question people actually google
- First contact runs exclusively by phone during office hours
- Clients send documents by email and someone sorts them by hand
- Recurring queries tie up qualified staff who shouldn’t be needed for them
What we actually do
Answer professional questions visibly
Pages on the topics your ideal clients search for — clear, correct and marked up so that AI assistants can use them as a source.
Take the load off first contact
Appointment booking and a pre-call questionnaire that already collects the standard details. The first meeting starts with substance instead of data entry.
Automate document routes
Assign and file incoming documents automatically instead of sorting them by hand.
AI in the team — with clear rules
Training and a written usage policy. With client data in particular, what matters is what must not be entered into a tool.
Starting point
Website from €1,290 · Automation after analysis
A client’s monthly incoming documents
This is how the process runs today — and this chain is exactly where automation comes in.
- Documents arrive via portal, email and paper
- Check receipt and assign to the client
- Detect and chase missing documents
- Prepare pre-coding
- Staff member checks and books
- Queries bundled to the client
Systems typically used here
This is the existing landscape an automation connects to. Listed is what is widespread in this industry — it says nothing about which system you use.
- DATEV (Unternehmen online, DMS, Eigenorganisation)
- Addison or Agenda as an alternative
- Client portals with encrypted document upload
- Deadline calendars and follow-up systems
- Microsoft 365 with Exchange
What matters most here
Professional law and client confidentiality
Client data must not flow into arbitrary services. Every service used needs a data processing agreement, and the duty of confidentiality under Section 203 of the German Criminal Code also applies to technical service providers. That is why the first question here is which data leaves the firm’s server at all — often the answer is: none.
Frequently asked questions
Is AI with client data permitted at all?
It depends on the tool and how it is used. That is exactly why every introduction includes written rules on which data may be processed where — and which may not. Without that part, we would not carry out the project.
But we aren’t allowed to advertise freely.
You may inform factually about your services — that is something different from advertising. That is exactly what our approach aims at: being found because you answer a question well.
How long does a change like this take?
The website in four to six weeks. We deliberately start automation with a single process, so that you see the benefit before more is invested.
