Automation for car workshops and dealerships
Taking appointments, estimates and questions about repair status tie up the service adviser.
Does this sound familiar?
The service adviser is the bottleneck. They take appointments, explain estimates, call for approvals and answer whether the car is ready — while the workshop waits.
- Appointments are taken by phone and block the service desk
- Estimates are put together by hand from manufacturer specifications and parts prices
- Approvals for additional work take several call attempts
- Customers call to find out the repair status
- Service intervals and MOT-style inspections are not tracked systematically
What we actually do
Take the load off appointment booking
Appointment requests are captured in a structured way — vehicle, concern, preferred date — and matched against capacity planning before anyone picks up the phone.
Approvals without a chain of calls
Additional work is sent for approval with a photo, description and price. The customer confirms digitally and the answer goes into the job.
Status without a call back
The customer sees which step their vehicle is at. That takes the most common question off the line.
Trigger service reminders
Inspection dates, service intervals and tyre changes are tracked from the vehicle data and offered in good time.
Starting point
Automation after process analysis
From appointment request to vehicle handover
This is how the process runs today — and this chain is exactly where automation comes in.
- Appointment request with vehicle and concern
- Check capacity and parts availability
- Confirm the appointment
- Job intake and vehicle check-in
- Additional work identified, request approval
- Customer confirms digitally
- Completion notice and invoice
- Service reminder for the next interval
Systems typically used here
This is the existing landscape an automation connects to. Listed is what is widespread in this industry — it says nothing about which system you use.
- Workshop software such as Werbas, CarIT, ASA-Netzwerk or Loco-Soft
- Costing systems such as DAT SilverDAT or Audatex
- Parts catalogues and supplier connections
- Manufacturer portals for franchised workshops
- Point-of-sale systems with TSE
What matters most here
Estimate, approval and evidence
A repair must not significantly exceed the estimate without the customer’s consent — so the approval has to be documented verifiably, with time and scope. An automated approval request is not just convenient here; it creates exactly the evidence that is missing in a dispute. Franchised workshops also have manufacturer documentation requirements.
Frequently asked questions
Our workshop software is old and has no interface.
That is the norm. Then the connection runs via exports, email processing or database access. What is viable is clarified by the process analysis beforehand — not by the invoice afterwards.
But customers want to call.
Many do. It isn’t about abolishing the phone, but about avoiding the calls nobody wants to make — “is my car ready?”. Anyone who still wants to call, calls.
